Provisioning reps

Adding a rep takes about a minute. RingMentor handles the email and the credentials for you.

Add a rep

  1. In the portal, open the Team page.
  2. Click Add Rep.
  3. Enter the rep’s full name and email.
  4. Click Provision rep + generate claim token.

That’s it. RingMentor does two things automatically:

  • Emails the rep a welcome message with a link to set their portal password, their claim token, and the install instructions. In most cases the rep can self-serve from there.
  • Shows you the claim token once, right on the page, in case the email bounces or you’d rather hand the token off directly (a DM, a text, in person).

The claim token is a one-time secret. It starts with rm_claim_ and pairs the rep’s machine to their identity. Share it through a private channel, not a public group chat. It expires 30 days after it’s issued, and the password-setup link in the email expires after 7 days.

Reissue a token

If a rep lost their token, let it expire, or needs to set up a new machine:

  1. On the Team page, find the rep’s row.
  2. Click Reissue Token.

This generates a fresh token, emails it to the rep again, and unpairs any machine they’d already set up (so they’ll re-pair with the new token). If a rep already paired successfully and isn’t changing machines, they don’t need a new token.

Revoke access

If a rep leaves or loses their laptop:

  1. On the Team page, find the rep’s row.
  2. Click Revoke.

Their desktop app stops working right away. To bring them back later, use Reissue Token to send a fresh one.

Promote a rep to admin (or back)

Reps who should also manage the team can be promoted without creating a new login:

  • Promote to Admin gives them full org access (playbooks, team, settings, sessions). Their device pairing and call history are preserved.
  • Demote to Rep reverses it, keeping their pairing, history, and login.

Admins can take coaching calls too, so an admin can pair the desktop app exactly like a rep does.
